Key Responsibilities and Daily Duties

As an Administrator in the Oil and Gas sector, your role will be multifaceted and central to our operational efficiency. Your primary focus will be on managing comprehensive documentation workflows, ensuring compliance, and supporting various departments. This role demands a high level of organization, attention to detail, and proactive communication.

  • Manage, prepare, and maintain all project and operational documentation, including reports, contracts, permits, and compliance records.
  • Coordinate efficiently between onshore and offshore teams, ensuring smooth information flow and timely document approvals.
  • Oversee office management tasks, including scheduling, correspondence, filing systems, and supply inventory for the Ghantoot facility.
  • Provide critical administrative support to project managers and field engineers, organizing meetings, and preparing agendas and minutes.
  • Ensure strict adherence to industry-specific regulations and company policies regarding data management and record-keeping.
  • Handle sensitive information with the utmost confidentiality and integrity.
  • Assist in the preparation of presentations, proposals, and other business development materials.
  • Liaise with clients, vendors, and government entities as required, representing the company professionally.
  • Utilize various enterprise resource planning (ERP) and document management systems to track and process administrative work.

Qualifications, Skills, and Experience Requirements

To be successful in this administrative position, the candidate must meet the following criteria and demonstrate proven expertise in the field.

Essential Education & Experience

  • A Graduation degree or Diploma in Business Administration, Management, or a relevant field.
  • 5-10 years of proven experience in an Administrator role, preferably within the Oil & Gas industry or a similar demanding sector.
  • Demonstrable experience with onshore and offshore operational support is a significant advantage.

Mandatory Technical & Soft Skills

  • Expertise in documentation management: creation, control, distribution, and archival.
