About the Role: Site Administrator
As a Site Administrator at Bright International, you will be the operational backbone of our construction site in Riyadh. Your primary focus will be to ensure all administrative functions run seamlessly, supporting the project managers, engineers, and on-site workforce. Your expertise in document control, record keeping, and coordination will be critical to the project's success, maintaining efficiency and compliance throughout the construction lifecycle.
Key Responsibilities & Duties
The Site Administrator will be entrusted with a wide range of tasks essential for smooth site operations. Your core duties will include:
Documentation Management & Control
- Create, manage, and maintain all site-related documentation, including permits, reports, invoices, and compliance certificates.
- Implement and uphold a rigorous document control system to ensure version control, accuracy, and easy retrieval of all project files.
- Prepare and distribute daily, weekly, and monthly progress reports to project stakeholders.
- Handle all incoming and outgoing official correspondence, ensuring proper filing and record-keeping.
Site Operations & Logistics Support
- Coordinate site logistics, including arranging meetings, managing site access for personnel and visitors, and maintaining site directories.
- Liaise with vendors and suppliers for office and site supplies, managing inventory and procurement logs.
- Assist in the coordination of site inductions and training sessions for new staff and contractors.
- Maintain a safe and organized site office environment, ensuring all administrative resources are available.
Communication & Coordination
- Act as a central point of contact for communication between the site team, head office, clients, and external partners.
- Schedule and minute site meetings, tracking action items and following up on deadlines.
- Manage site telephones and other communication equipment, ensuring messages are relayed promptly and accurately.
Candidate Requirements & Qualifications
To excel in this Site Administrator role, the ideal candidate will possess the following qualifications, skills, and experience:
Education & Experience
- Education: A Graduation/Diploma in Business Administration, Management, or a related field is required.
- Experience: 1-3 years of proven experience in an administrative role, preferably within the construction industry or a similar site-based environment.
Essential Skills & Competencies
- Expertise in Documentation: Exceptional ability in creating, formatting, editing, and managing complex documents with a high degree of accuracy.
- Organizational Prowess: Superior organizational and time-management skills, with the ability to prioritize tasks effectively in a fast-paced construction site setting.
- Technical Proficiency: Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with document management software.
- Communication Skills: Excellent verbal and written communication skills in English; knowledge of Arabic is a significant advantage.
- Problem-Solving: A proactive and resourceful approach to identifying and resolving administrative issues before they impact site operations.
