Key Responsibilities and Daily Duties
As a Document Controller at Ambe International, you will be the cornerstone of our information management system. Your primary focus will be on ensuring the efficient flow of documentation within our large-scale Oil & Gas projects. Your responsibilities will be critical to project success, compliance, and auditing processes.
- Establish, manage, and maintain the project document control system and procedures in compliance with company and client standards.
- Receive, record, track, and distribute all incoming and outgoing project correspondence, including drawings, specifications, reports, and transmittals.
- Ensure all documentation is accurately filed (both electronically and hard copy) and is easily retrievable for project team members.
- Manage the document numbering, revision control, and status tracking to ensure all stakeholders are working with the latest versions.
- Liaise with engineers, project managers, clients, and contractors to facilitate the smooth exchange of project information.
- Prepare and issue regular document status reports to project management, highlighting progress and potential delays.
- Oversee the archiving of all project documentation upon project completion, ensuring a complete and accurate historical record.
- Train and guide project team members on document management processes and the use of the designated document management system (EDMS).
- Conduct regular audits of the document control system to ensure data quality and integrity.
- Support the administration department with related tasks as required, fostering a collaborative work environment.
Requirements and Qualifications

Education & Experience
- A Graduation/Diploma in Business Administration, Information Management, Engineering, or a related field is essential.

- Demonstrable experience with Electronic Document Management Systems (EDMS) such as Aconex, Documentum, SharePoint, or similar platforms.
